Documents you need to apply for a business loan in Malaysia

A checklist of the documents Malaysian banks usually ask for, by business type and facility, and how to prepare them so your application is not delayed.

Published 4 min read

Missing or unclear documents are one of the most common reasons a business loan application stalls. Each bank has its own checklist, but most ask for the same core set. Use this list to prepare before you apply.

1. Business registration

  • Sdn Bhd: SSM company profile (e-Info) showing directors, shareholders and paid-up capital, plus your constitution if you have one.
  • Sole proprietorship or partnership: SSM business registration certificate and business profile.
  • Licences: your business premises licence from the local council, and any licence your industry needs, such as CIDB registration for contractors.

2. Bank statements

Most banks ask for the latest 6 months of statements for every business current account, and some ask for 12 months. Send complete statements with every page, not screenshots.

Banks read these closely. They look at monthly credits, average balances, returned cheques and whether the account is overdrawn. Run your business income through the business account so the statements show your real turnover.

3. Financial statements

  • Sdn Bhd: audited accounts for the latest 2 financial years, plus management accounts for the current year.
  • Sole proprietorship or partnership: income tax returns for the last 2 years (Form B for sole proprietors, Form P for partnerships), plus management accounts if you keep them.
  • Up-to-date management accounts help, especially when your latest audited accounts are more than 6 months old.

4. Directors and owners

  • IC copies of all directors, shareholders or partners.
  • Signed consent for the bank to check CCRIS and CTOS.
  • Personal income tax returns or salary slips, which some banks ask for, especially for smaller businesses.

5. Existing borrowings

List every current loan, hire purchase, overdraft and trade line, with the latest letters of offer or statements. Banks add up all your monthly commitments to work out whether you can afford a new facility.

6. Documents for specific facilities

  • Project or contract financing: letter of award, signed contract and a project cash-flow forecast.
  • Machinery or vehicle hire purchase: quotation or proforma invoice from the supplier.
  • Property financing: sale and purchase agreement or offer to purchase, and the property title details. The bank arranges its own valuation.
  • Trade financing: recent invoices and purchase orders, and details of your main suppliers and customers.
  • Government-guaranteed financing (SJPP or CGC): usually the same core documents. The bank submits the guarantee application for you.

Tips to avoid delays

  • Scan documents clearly and name each file, for example "Bank statement Jan–Jun 2026".
  • Check that the revenue in your accounts roughly matches the credits in your bank statements. If it doesn't, prepare an explanation.
  • If you have had late payments, get your free CCRIS report from Bank Negara's eCCRIS service first so there are no surprises.
  • Send everything at once. Banks usually start reviewing only when the set is complete.

Banks also turn down applications for reasons that have nothing to do with paperwork. Our guide on why banks reject business loan applications explains the most common ones.
